Venue: The city and hotel(s) are chosen by SCS and AIA executive committees some 3-4 years ahead of the prospective meeting, and once the relevant contracts are signed by all parties there are significant penalties for any substantive changes. Considerations include cost, capacity, ease of access by air, geographical diversity, and the attractiveness of the location, among others.

Program Committee: This committee is chaired by the VP for Program, who serves for four years, and has six members who serve staggered three-year terms. All seven members of the committee are elected by the membership.

Submission system: Submissions for the program arrive over a period of months in the spring before the Annual Meeting. These are the culmination of planning processes by SCS committees, Affiliated Groups, and individual members or groups of members. The due dates for the various categories of submission are coordinated with the date of the summer meeting of the Program Committee so that committee members have adequate time to review and vote on submissions, which generally number in the hundreds. The submission system is designed to collect all of the information required for any given submission, and to deliver subsets of that information to the people who need to work with it, primarily SCS staff and the Program Committee.
