This month, AIA and SCS staff made their final site visit to the Hilton Union Square. We are delighted to report that we conducted a test of AV equipment and Zoom for a hybrid session and that everything worked perfectly! We are excited for our first ever hybrid meeting.

In order to make the conference sessions work well for speakers and attendees, we do need student volunteers both remotely and in San Francisco. Remote student volunteers will receive free virtual registration and act as technical assistant for ONE session or event. Onsite volunteers will receive free registration and assist, for up to but not over 6 hours, at the registration desks and/or as technical assistants in SCS session rooms. Familiarity with Zoom is essential. As a reminder, all attendees in San Francisco will need to show proof of vaccination at registration desks and wear masks indoors. Students can volunteer up until December 6 using this form.

In other updates, the Parc 55 overflow hotel is not accepting reservations. Hilton is consolidating all rooms for our conference at the Hilton Union Square. You can reserve your room here.

Finally, we know that speakers, presiders, and panel organizers are eager to receive detailed instructions about the logistics of their sessions. We are working now to prepare detailed guidelines. Panel organizers and session presiders will receive preliminary instructions before Thanksgiving and more detailed guidelines in early December. Speakers who are presenting remotely will be able to submit pre-recordings of their talks in December. We anticipate the deadline for upload being December 27 and will publish instructions soon.
